COMPUTERS

Passwords The IT Administrator will set up a unique login ID for you. You are required to create a password to prevent unauthorized access to the network. Passwords should be easily remembered but not obvious. Downloads Staff members may not download and install programs, screensavers, or other software to Council computers without the approval of the IT Administrator. Any approved software applications will be downloaded/installed by the IT Administrator. Software Microsoft Office is the standard software used by the Council. Staff must maintain their work schedule in Outlook to facilitate scheduling and meeting planning. Saving Documents All critical office documents should be saved to Box. DO NOT save to “My Documents.” Privacy There is no expectation of privacy when on Council computers or electronic devices. CONTRACTS All contracts entered into by the Council must be approved by an Officer of the Board of Directors (Chair, Vice-Chair, Secretary or Treasurer) or their designee (Chief Executive Officer or Chief Financial Officer). The Chief Executive Officer and Chief Financial Officer serve as the primary contract officer and should be consulted before entering into contract negotiations with any vendor or outside party. Further information is available in the “Operating Policies” section of GSNET under “Contracting, Purchasing, and Competitive Bidding Requests for Proposals (RFP).” EMAIL/INTERNET/TELEPHONE/FACSIMILE Please refer to the Operating Policies for further information regarding the use of email, Internet, telephone and facsimiles (fax). Additional information about these resources and computers is provided elsewhere in this handbook and in the “Operating Policies” located on GSNET. EMERGENCY INFORMATION, CHANGE OF ADDRESS AND/OR PHONE Employee information must be updated online. Go to www.Paycor.com EQUIPMENT Laptops and Projectors The Council has several laptops and projectors that can be checked out for business purposes. Make equipment reservations by using the instructions “How to Reserve Rooms / Equipment using Outlook” found on GSNET under the FAQS section. Equipment is available from the IT Administrator.
