2025 GSEM Recruitment Team Playbook

Community and School Sponsored Events Girl Scouts participate in community events by staffing an information booth. Community events include seasonal festivals, back-to-school events, family fun nights, and other school-sponsored events. These events are a great opportunity to meet families in a low-pressure environment.

Timeline

Three weeks before event • Verify date, time and location* (may need to secure a location, if hosting) • Obtain COI if hosting an event • Schedule Lunch Talks or Classroom Chats with appropriate schools • Find out if a table and chairs are provided • Order flyers and additional recruitment materials from your Community Engagement Manager using vr.girlscoutsem.org/RB-Request • Recruit volunteers for event Work with your CEM to promote these events ⇨ Distribute flyers—printed and digital ⇨ Share social media posts One week before event • Familiarize yourself with recruitment materials • Confirm with volunteers Two weeks before event •

Supplies Needed • Activity supplies • Event sign-in sheets and pens • Flyers • Girl Scout giveaway items • Green table cover • Membership forms • Daisy Drop Box signage • Welcome to Girl Scouts brochure • Other necessary items

Volunteer Staff Needed Troop Organizers and volunteers cover the booth for the entire event. Organize shifts into shorter time slots if necessary. Set Up/Clean Up • Arrive 30 minutes early to set up and be ready 10 minutes before the start of the event. • Organize materials for an inviting display, with space to fill out paperwork. • Don’t forget to clean up after. A Girl Scout always leaves a place better than they found it.

• Familiarize yourself with the Registration Steps (pg. 10) • Hold Lunch Talks or Classroom Chats

Day of Event •

Put on your Girl Scout gear and get ready to have some fun! Volunteers and leaders should dress to maintain professionalism, integrity and alignment with GSEM mission and values

Post-Event •

Send an electronic copy of the sign-in sheets and/ or registration forms to the CEM within 24 hours • Follow up with those that showed interest inviting them to future events, become a member or make sure they are connected with their troop *Any venue that requires forms or documentation needing signatures (COI and Facility Usage request) must be signed by GSEM staff. Work with your CEM for assistance.
