The administration of PTO is governed by the following parameters: • The use of PTO must be scheduled and approved by the manager in advance unless the employee is sick, there is an emergency, or other extenuating circumstances. • PTO is available for use once it has been accrued. If approved time off is taken without being accrued, such time will be unpaid. • PTO is paid at the employee’s regular rate. PTO is not part of any overtime calculation PTO hours may be requested in quarter-hour increments. • Unscheduled PTO (sick and personal) is monitored and may be subject to the provisions of the Absenteeism/Tardiness policy • Employees already scheduled to take PTO on a day the office is closed due to weather will still be charged PTO hours for that day. • Except in limited circumstances, use of unscheduled PTO for sick or personal emergencies requires the notification of the manager at the start of the workday, no later than thirty minutes after an employee’s start time. If the immediate manager is not available, leave a message on their voicemail and contact the front desk receptionist after 8:30 am who in turn will notify the appropriate staff of the absence. It is imperative the absent employee receive confirmation their absence has been noted through a live conversation, email, text, or voicemail response from a member of the Girl Scouts staff PTO will not be included with regular hours to exceed 37.5 in a workweek. For example, if an employee takes PTO on a Monday and works five extra hours later in the week, for a total of 35 regular hours worked, the employee will not be paid an additional 7.5 PTO hours for a total of 42.5 hours paid. The employee will be paid for 35 regular hours and only 2.5 PTO hours to get to 37.5 total hours • PTO hours paid are equivalent to the number of hours the employee was scheduled to work and are not part of any overtime calculation • When an employee moves to a higher level of PTO accrual based on the anniversary date of continuous service or a promotion to a leadership position, the accrual level change shall take effect the week following the triggering event • Up to one-half of the PTO time accrued in a calendar year may be carried forward to the next year. At no time may an employee carry forward more than one half of their annual accrual • At no time may the accrued PTO exceed the annual maximum entitlement
