Welcome

Welcome to the 2025 Recruitment Team Playbook!

Whether you are brand new to the position or have many years of experience, this year’s Recruitment Team Training will ensure you have all the valuable resources necessary for a successful fall recruitment season. In addition to the physical resources provided by the Girl Scout Council, our Community Engagement Managers are also here to support the Recruitment Team. I encourage our Recruitment Team and Community Engagement Managers to work closely together throughout the year, so every girl who wants to be a Girl Scout has the opportunity to be one. Together, we are helping our eastern Missouri Girl Scouts build courage, confidence, and character, which means a brighter future for us all!

Hello,

I am Christy Hummel and I would like to take a moment to recognize that Girl Scouts could not exist without the help of our volunteers. Please allow me to thank you, and remind you how appreciated and valued each member of the Girl Scouts of Eastern Missouri community is to our entire organization. As an adult volunteer, you encourage girls to imagine solutions, chase innovation and channel their confidence, as they experience all that our organization has to offer. You are there to lift them up and help them shoot for the stars—and for that I sincerely thank you for your service and commitment to our future leaders. I am excited to kick off a new Girl Scout year and partner together to help girls from across eastern Missouri achieve their ambitions and dreams. Recruitment Team Playbook 3

Recruitment Year Overview

Planning and Preparing, May-August Girl Scouts of Eastern Missouri strives to connect with every school-aged girl and offer her the opportunity to join Girl Scouts. The recruitment year begins with planning recruitment efforts for the following membership year. The Neighborhood Manager and Community Engagement Manager (CEM) work together to recruit Troop Organizers for each school. Then all three positions work on recruiting new leaders and plan Recruitment Events for the new school year. Fall Recruitment, August-October Recruitment activities focus on reaching people at back-to-school events, open houses or community events. The Recruitment Team will invite girls and their families to “Introduction to Girl Scout” nights intending to form new troops, fill existing troops or joining as an Individual Girl Scout. Seasonal Recruitment, November-May Seasonal recruitment activities focus on both current year growth, as well as renewal for next year’s membership. Attending community events helps connect girls to exciting experiences within the district, neighborhoods and GSEM council. The Neighborhood Recruitment Teams review current progress towards their new membership goal using Looker (see pg. 14 for additional information on this resource). Additional recruitment events may be needed to reach that goal. The Neighborhood Recruitment Team plans renewal events to engage girls, leaders and caregivers for the following year’s Girl Scout experience. Girls can reflect on their progression and experiences from the previous year and look forward to more adventures and learning new skills.

7 Steps to Successful Recruitment

STEP #1 The Neighborhood Recruitment Team meets to discuss recruitment strategy. STEP #2 Schedule recruitment events and prepare for activities, including gathering supplies, flyer creation and facility approval as needed. STEP #3 Enlist volunteers to assist with the recruitment events.

STEP #4 Promote the event within your

community, including distributing flyers as needed three weeks prior to recruitment events. Coordinate with schools/host locations for appropriate timelines.

STEP #5 Host event.

STEP #6 Send an electronic copy of the sign-in sheets and/or registration forms to your CEM within 24 hours of the event concluding. STEP #7 Follow up with troop leadership and interested girls to get registered.

Success in the Schools

Building Relationships Schools are the place to be! Schools provide an effective point of contact for new families. Building relationships within schools is pertinent to offering the Girl Scout experience to every interested girl. Establishing relationships with school administrators and staff-such as principals, assistant principals, receptionists, family liaisons and counselors-often lead to additional girl recruitment event opportunities. As a Troop Organizer, you help connect families with Girl Scouts at your school. Talk with your Neighborhood Recruitment Team, your Community Engagement Manager (CEM) and other troop leaders at the school for ideas on what has been successful in the past. Don’t forget it’s okay to try new ideas as well. Using Looker, Troop Organizers can review a current list of troops for each school. Your CEM can also be an additional resource to access this information if help is needed. A quick review of those troops will let you know which grade levels have troops currently at the school and which grade levels you’ll need to recruit.

Some Things to Ask About • Signage • Message on marquee • Announcement messages • Lunch Talks

• Parent Teacher Association (PTA) contacts • Social media pages • Classroom communication platform(s)

Things to Consider

Certificates of Insurance (COI) Girl Scouts of Eastern Missouri is obligated to ensure that any external entities, such as vendors, program providers/ collaborators, organizations, companies, sites or facilities used are safe. One measure of safety is evidence of adequate insurance coverage. When planning an event, a COI must be obtained from any involved external entities. Likewise, external entities may request COIs from Girl Scouts of Eastern Missouri when Girl Scouts hold an event at their site. Please review the list of Program Partners and COI’s that have already been received on the Council website when making plans for an event. All Program Partners have COI’s on file at Council. For external entities that are not Program Partners, you must submit a copy of their COI to Girl Scouts of Eastern Missouri.

Contact your Community Engagement Manager if you need assistance obtaining a COI or have questions.

Note: If a COI is needed, make sure the COI is in hand before making a reservation or paying a deposit to use external services or facilities.

Contracts and Hold Harmless Agreements

If the venue requires one signature on a group hold harmless clause, the contract/agreement must be made in the name of Girl Scouts of Eastern Missouri, Inc. and the agreement/contract must be reviewed for authorization by Girl Scouts of Eastern Missouri. The CEM will help facilitate the signature process. Please allow at least three weeks for this to be completed. Girl Scout volunteers are not authorized to sign contracts/agreements on behalf of the Girl Scouts of Eastern Missouri organization. If the venue requires a signed hold-harmless release for each girl and the girl is not of legal age (18), her caregiver must sign. Girl Scout volunteers may not sign on behalf of caregivers.

Volunteer Speak

If you’re ready to engage with your community, grow your skillsets, and show Girl Scouts what it means to be capable—you’re ready to be a volunteer! There’s no one type of volunteer. If you believe that Girl Scouts can change the world, you belong here. All work and schedules can be accommodated. Here are some ways to get involved. Long-Term: • Troop leaders engage regularly with their Girl Scouts and guide them through activities, like earning badges, exploring the outdoors or running their own business through Treats & Reads and the Girl Scout Cookie Program. • Troop Support Volunteers assist with transportation, activity planning, snacks, money management or other tasks to keep the troop running week to week. • Service Unit Volunteers are the network of support throughout the community. They empower troop leaders and volunteers to be the role model Girl Scouts need and connect them with the resources for unforgettable troop experiences.

Whether you have time for a one-time event or just a few hours a month—we have a volunteer role for you! Short-term volunteer opportunities are always available throughout the year. Short-Term (Episodic): • April Showers Volunteers assist with GSEM’s largest community service program that provides personal care items to those in need. • Camp Activity Volunteers are skilled individuals who can assist with running activities for girls at our three camps. • Community Troop Program Volunteers assist GSEM staff during troop meetings. Meetings take place after school hours at one of our school partners. Community troops provide the Girl Scout Leadership Experience in a troop setting to girls who otherwise would not have the opportunity. • Program/Event Volunteers assist with programs and events throughout the year at our Berges Family Girl Scout Program Center and other locations throughout St. Louis and surrounding areas.
