Troops that are not registering for the upcoming membership year must follow the following procedures: • Contact all parents/guardians to confirm if their girl would like to continue in Girl Scouts • Make every attempt to identify a potential leader for the troop or place interested members in existing troops • Contact your Volunteer Support Coordinator (VSC) and request the Disbanding Troop Notice. Submit the completed Disbanding Troop Notice as well as the Troop Year-End Report to the VSC. Deficiencies Eastern Missouri will aggressively pursue collection and prosecution of the party or parties responsible for any deficiencies, theft, misappropriation of funds or fiscal impropriety related to a troop account. If it is determined there has been a misappropriation of funds, individuals involved will no longer be allowed to manage funds of any kind and is not allowed to be named on any Girl Scout bank accounts.

Year-End Reporting

Troop money management has always been a foundation for successful troop planning. Proper budgeting and fiscal responsibility allow girl members to reach troop financial goals that support troop activities.

A Troop Year-End Report must be submitted annually providing troop financial activity. Anyone who does not turn in a Troop Year-End Report may not be reappointed as a leader and the troop will not be allowed to participate in troop money-earning activities beyond council product programs. The Troop Year-End Report is due to council by July 15 of each year. Leaders are encouraged to submit the Troop Year-End Report online. This report is located on the council website and is to be completed and submitted to council electronically. If a paper copy of the Troop Year-End Report is needed, contact your Volunteer Support Coordinator. The Troop Budget Worksheet is a preformatted Excel document that can be downloaded from the council website. This spreadsheet is a great tool to assist in tracking troop income and expenses. The information calculated on the spreadsheet can be used to complete the Troop Year-End Report easily and efficiently. If the troop is using online banking services and/or a debit card, the Financial Institution Certification/ Waiver must also be completed and submitted, if not already on file at council. The Financial Institution Certification/Waiver is a part of the Prospective Financial Institution (Bank) Letter.
