2022 Troop Cookie Manager Guide

Financial Question: For a new troop, who does not have extra funds, how do we assure we have money for the council ACH withdrawals during cookie season? Answer: Encourage families to turn in cash and checks collected during delivery regularly throughout the season or encourage them to use one of the credit card options. Make frequent deposits to the troop bank account of this and money collected at cookie booths. This is a best practice for safe money keeping and will ensure the troop has adequate funds for the initial withdrawal. For the final payment deadline, communicate deadlines for girls/families to turn in their cookie money ahead of the withdrawal dates. Be firm on this deadline and use the Troop Late Payment Report when someone does not pay on time. Question: What are ACH withdrawals for and how do they work? How do the ACH withdrawals account for online sales? Answer: ACH withdrawals are the electronic transfer of what your troop owes for cookies to council. The first withdrawal is for a portion of your troop’s initial early order and you will receive an email a week before the withdrawal notifying you of the amount due. All Digital Cookie payments will automatically go to Council, and the troop’s balance due to council will be reduced based on how much the troop collected via Digital Cookie. If the troop’s Digital Cookie sales exceed the amount due to council, the troop’s proceeds owed will be transferred from Council via an ACH deposit after the final deadlines. Question: How does a Virtual Cookie Booth work? How would packages be delivered to customers? How do packages get distributed for rewards? Answer: If you would like to offer girl delivery for your Virtual Cookie Booth, you would need to use an individual Girl Scout’s Digital Cookie link. It would be up to your troop to decide how you want to handle delivery in this case. It could be divided up among the girls, or the troop could promote a specific cookie pickup time/date in a public space. Otherwise, you can use the Troop link or you can provide a Virtual Booth for donation and shipping only. Packages can be distributed among the girls in eBudde by the Troop Cookie Manager. Stay tuned for more complete instructions through our Booth Toolkit. Question: What payment methods can be used at booths? Answer: We encourage your troop to discuss what is right for your booth and to use contactless options wherever possible. The allowed payment methods at booths are cash, check, Digital Cookie-Cookies in Hand, and CloverGo. CloverGo and Cookies in Hand allow for completely contactless options for payment. Question: Where can Drive Thru booths be held? Answer: Drive Thru booths are best held in areas with a large amount of free space to safely move traffic without causing traffic jams. As with all booths, troops should work to get permission from the location they are holding their booth. More complete instructions for Drive Thru Booths will be in the forthcoming Booth Toolkit on girlscoutsem.org/cookies and Rallyhood. Question: When can we host virtual booths? Answer: You can host Virtual Booths during our Booth Season between February 18 and March 13. This allows you to ensure that girl-delivery can be achieved quickly as cookies will be in-hand during this portion of the sale. Booths
